Position Summary: The Maintenance Coordinator is responsible for coordinating, scheduling, and
overseeing all maintenance activities across properties managed by Byrnes Property Management Group.
This role serves as the central point of contact for maintenance requests, vendor coordination, inspections,
and work order tracking, ensuring that properties are well maintained, compliant, and operating
efficiently. The Maintenance Coordinator focuses exclusively on maintenance execution, vendor
coordination, and property condition standards.
Key Responsibilities:
Maintenance Coordination & Work Orders
● Receive, review, prioritize, and track maintenance requests from tenants, property managers, and
internal teams.
● Create, assign, and manage work orders through the Company’s property management or
maintenance tracking system.
● Coordinate and schedule repairs with in-house maintenance staff and third-party vendors.
● Ensure maintenance requests are completed in a timely and professional manner.
Vendor & Contractor Management
● Coordinate with external vendors and contractors for repairs, preventative maintenance, and unit
turns.
● Obtain quotes for maintenance work as needed and submit recommendations to management for
approval.
● Schedule vendor access to properties and ensure work is completed to Company standards.
● Maintain strong working relationships with vendors and contractors.
Property Maintenance & Compliance
● Assist with coordinating property inspections, including Section 8, insurance, and municipal
inspections.
● Ensure properties meet local, state, and federal building codes, safety standards, and compliance
requirements.
● Track inspection deadlines, follow-up items, and corrective actions.
● Support preventative maintenance programs to reduce emergency repairs and long-term costs.
Scheduling & Field Support
● Develop daily and weekly schedules for maintenance staff based on workload and priority.
● Monitor progress of maintenance tasks and address scheduling conflicts or delays.
● Serve as a point of contact for maintenance staff while in the field.
● Maintain accurate records of work orders, inspections, repairs, and maintenance activities.
● Document before-and-after photos for unit turns, repairs, and major maintenance projects.
Quality Control
● Conduct quality control checks on completed maintenance work, unit turns, and vendor repairs.
● Ensure completed work meets Company standards for safety, cleanliness, and functionality.
● Report recurring maintenance issues or property concerns to management.
Qualifications
● Prior experience in property maintenance coordination, facilities coordination, or property
management support
● Strong understanding of general maintenance processes and building systems
● Familiarity with local building codes, safety standards, and inspection requirements
● Excellent organizational and time-management skills
● Strong communication skills and ability to coordinate with tenants, vendors, and internal teams
● Ability to manage multiple work orders and priorities in a fast-paced environment
● Proficiency with maintenance tracking or property management software preferred
Work Environment & Expectations
● This role is five (5) days per week in-office, with the exception of required field duties at
managed properties.
● Primarily office-based with regular on-site visits to managed properties as needed.
● May require occasional after-hours coordination for urgent maintenance issues.
● Must maintain a high level of professionalism when interacting with tenants, vendors, and
inspectors.
